Class Scheduler

Publish classes, manage bookings, and run scheduled training.

Use Class Scheduler to publish a Location timetable, manage bookings and waiting lists, and run scheduled classes on Station. Members use the Member App to find classes, reserve a place and review their bookings. This guide follows the complete workflow from Client authorization to attendance and workout results.

Access and responsibilities

An Accuro Admin manages the Client's Class Scheduler Add-on. Club Admins manage scheduling and bookings for their Client; Location Admins work within their assigned Locations. Station shows classes for its own Location. Members see classes within their permitted Client and Location access.

Class Scheduler is a separate Client Add-on. Cloud mode does not automatically enable it. Course Templates and Coaches are preparatory resources; access to them does not by itself mean scheduling is enabled.

Enable Class Scheduler

  1. Sign in to Dashboard and switch the active role to Accuro Admin in Platform scope.
  2. Select the intended Client. Open Management → Settings.
  3. Find Add-on access and the Class Scheduler card.
  4. If it is Not activated, select Activate. The Activate add-on dialog allows lifetime access or an expiry; confirm the intended expiry and select Activate. For an existing entitlement, select Manage, set the intended status and expiry, then Save.
  5. Verify that the card shows usable access. Return to Club Admin or the intended Location Admin role for scheduling.

The initial activation form permits no expiry. The management form includes Status and Expiry; its warning says that clearing Expiry does not remove an existing expiry. Do not treat an empty field as confirmation that a previously limited entitlement is now permanent. Confirm the resulting card after saving. This workflow records Add-on access; it is not a payment checkout.

When access is unavailable, the scheduling workspace is gated and members cannot discover the scheduling experience through their normal app entry point. Ask the Accuro Admin to check the Add-on's status and expiry. Existing session execution is not simply terminated by an entitlement expiring.

Prepare a Location

Select the correct Location before scheduling. Check its timezone, reusable Course Templates, available Coaches and Classrooms. Use a classroom capacity that matches the physical space. The booking limit controls confirmed places; additional eligible bookings can enter the waiting list.

A template supplies the course content used by a scheduled class. A scheduled class is one dated occurrence, with its own time, resources, capacity and roster. Publishing a template alone does not place a class on the timetable.

Create a draft and publish it

  1. Open Members & training → Class Scheduler and select the Location.
  2. Select New class and choose a Course template. Coach and Classroom are optional; clear either selection to leave it unassigned. The same applies to recurring schedules.
  3. Set Starts at, Duration, Booking limit, Name and an optional Description.
  4. Choose Draft and Save as draft if the class needs review. It appears as Draft in Dashboard and is not offered for member booking.
  5. Open the draft and select Publish class when ready. Alternatively, choose Published in the creation form and select Create and publish.

Check the date and Location timezone before publishing. Confirm the class appears in the Member App and on the appropriate Station. If a list has not refreshed, change the selected date or refresh the relevant screen before repeating an action.

Repeat classes automatically

Select New recurring schedule to create several dated occurrences together. Set the first class time, template, resources and booking limit. Choose daily, weekly or monthly repetition, the repeat frequency, and the relevant days. End the series by total class count or end date. Review the schedule preview before saving.

For weekly repetition, the weekday of the first occurrence must stay selected. The total class count includes the first occurrence. A series is finite; the interface supports up to 500 classes. A draft series can be published using Publish recurring schedule in its row.

Use Edit recurring schedule to choose All classes or This and following classes. The latter starts the change at a selected occurrence. Editing an individual occurrence creates an exception; later series changes preserve those exceptions. Historical occurrences are retained. Review the scope carefully before applying a change.

Cancel recurring schedule provides the same broad scope choices. It cancels classes and active bookings in the selected future range, notifies confirmed members and stops unsent reminders. Enter a reason when it will help members understand the change.

Browse edit and cancel classes

Use the calendar's Day, Week, Month and Year controls to change the overview. Previous period, Next period and Today move through dates. Agenda presents the selected period as a list. Show cancelled classes includes cancelled occurrences in the management view.

Open a class to inspect its status, time, resources, booking limit, duration and roster. Edit class changes that occurrence. Review conflicts and capacity errors rather than creating duplicate classes to work around them. Coach and classroom overlaps can prevent scheduling; reducing capacity below confirmed bookings is not allowed.

Cancel class cancels the scheduled occurrence. Its confirmation explains the effect on active bookings and unsent reminders. Confirmed members receive a cancellation notification; a cancellation reason is included in the email when supplied. A cancelled class is different from removing one member's booking.

Manage bookings and waiting lists

In Class details, use Add member to search for a member and select the correct identity, then select Add member. Verify the roster status. A full class places an eligible additional member on the waiting list, with a position such as Waitlist #1.

Remove booking removes the selected member. The confirmation names the member, class and time. Removing a confirmed member can immediately promote the next waiting member. Confirm that the promoted member now shows Confirmed. Do not promise a place while the member is still Waitlisted.

Members cannot hold conflicting active bookings for overlapping classes, including across Locations. Booking changes and attendance rules can also prevent cancellation after a class starts or after check-in. Resolve the actual conflict shown by the app rather than repeatedly submitting the same request.

Find classes on Station

Open Classes on the Station associated with the intended Location. The list groups today's classes and the next seven days. Recent history covers the past seven days, including terminal states such as completed, cancelled and missed classes. Active class execution remains prominent. Select a class to inspect its resources and roster.

Before the preparation window, Start Check-in is disabled and the screen explains that check-in and setup become available 30 minutes before class. Within that window, staff can manually open check-in and confirm the dialog. This opens attendance; it does not start the workout timer.

Add walk-in is available during open check-in for an eligible member arriving without a reservation. Follow any capacity or eligibility message. If another training session is active on the Station, return to that session first; do not create a duplicate execution.

For an eligible published class that has not been opened manually, the system automatically opens check-in approximately 15 minutes before its scheduled start. This is a scheduled task, so the transition and notification need not occur at the exact second. A Station reminder is also scheduled five minutes before class. Manually opening check-in earlier means the automatic opening transition does not happen a second time.

Check in and prepare on Station

  1. Select the scheduled class and review the booking roster. When check-in is open, select Check in beside the arriving member. The Checked in total increases and the row offers Undo check-in.
  2. Select Prepare Class. Station opens the scheduled training screen with the class name, coach, Join Code and planned duration. Preparation does not start the timer.
  3. Select Start Class when the class is ready to begin. For Apple Watch participation, start the scheduled workout on Watch after the class has started, then verify incoming heart-rate data. A paired heart-rate strap may already show a signal during preparation; do not use that sequence as a requirement for Apple Watch.
  4. Complete the training workflow and allow session results to upload. Keep this workout attached to the scheduled occurrence so attendance and results can be reviewed together.

Find book and cancel in Member App

Open Classes → Schedule. Select a date and, when available, a Location filter. Open the desired class and review its time, Location, Coach, Classroom and availability. Select Book class and confirm. A successful reservation shows Confirmed; a waiting-list booking is not a confirmed place.

Use My Bookings to review your reservations and history. Open a booking to see its current status. To withdraw before the cancellation cutoff, select Cancel booking and confirm. The app warns that releasing a place may immediately promote the first waiting member. A completed cancellation shows You cancelled and releases the place.

If the class has already started or check-in prevents cancellation, follow the app's message and contact club staff when needed. Cancelling a booking does not cancel the class for other members. When a club changes a class, revisit its details to see the latest schedule.

The 24-hour and two-hour reminders depend on the member's class-reminder preference and system notification availability. A booking made after a reminder's scheduled time does not receive that missed reminder retroactively. Changes and cancellations invalidate reminders that are no longer applicable. Waiting-list members do not receive the confirmed-member pre-class reminders.

A cloud-backed class can also send Cloud Session ready when an eligible participant's private workout Companion is ready. This is distinct from the 24-hour and two-hour booking reminders. Members whose workout is recorded by Station do not receive this cloud-participation invitation.

Check device notification permissions and the app's reminder preference if a reminder is absent. System Focus settings, connectivity and delivery services may affect when a banner appears. The operating system may group notifications. Notification content and tapping through to the correct class should be checked separately.

Booking confirmation emails show the class, scheduled time with timezone and Location, plus Studio and Coach when assigned. Schedule-change emails show previous and new schedules and explain that the booking remains confirmed. Club cancellation emails identify the cancelled booking and include the supplied reason when applicable. Emails from the same subject can be grouped into one Gmail conversation.

After training and troubleshooting

Workout emails are generated from actual processed session results, not from a booking alone. An eligible completed workout may receive a workout summary according to the member's email preferences. A short or otherwise non-counting workout may instead receive a recorded-workout message explaining that Dynamic Status is unchanged. Allow results to finish uploading and processing before investigating missing mail.

If a class is missing, check the Location, date, publication status and Add-on. If a button is disabled, check the current class status and time window. If booking fails, check availability and overlapping bookings. If a class appears stale after a mutation, refresh and inspect its authoritative detail view before retrying. If an email is missing, inspect the recipient, Updates and Spam folders, and the event matrix above: not every action sends email.

For support, provide the Client, Location, class name, scheduled time and timezone, member identity, visible status and the action attempted. Include a screenshot and the approximate time of the problem.

Working hours

In Scheduler, select a Location and open Working hours. Enable the limit and enter a daily opening and closing time, for example 08:00–22:00. Times use the Location timezone and must be on the same day. Turn off the limit for unrestricted 24-hour scheduling.

Day and week views initially show this range. Show all 24 hours expands the calendar without changing the scheduling rules. A class must start and finish within working hours; a 45-minute class with a 22:00 closing time can start no later than 21:15. The same rule applies to recurring schedules.

Changing working hours leaves existing classes in place. If a class is outside the range, use the full-day view to see it. New classes, edits, publication and new recurring occurrences follow the latest hours.
